For a procurement office, the chemical is the easy part. What actually decides the award is whether the supplier can produce the paperwork, hold the price, and turn up on the day. That is the part we have organised around.
What bulk means here
Drum and pallet quantities of the materials on this site, plus concentrates made up to your dilution if that is more useful than raw material. Typical institutional orders are hypochlorite bleach by the drum, pine or lemon disinfectant concentrate, handwash and shower gel concentrate, laundry powder or liquid, dishwashing concentrate, floor cleaner and descaler, delivered with the jerry cans and trigger bottles to dispense them.
Buying against an LPO
Send the Local Purchase Order to our email and it is acknowledged the same working day with a confirmed delivery date. Standard terms are thirty days for established institutional accounts; longer terms can be discussed against a framework contract. Every delivery comes with a delivery note signed at the store, an ETR invoice, and the SDS set for the chemicals supplied.
Tender submissions
Send the bill of quantities and the closing date, with as much lead time as you can manage. We return a priced schedule on letterhead with pack sizes, unit rates, total, lead time and validity period, along with the supporting documents commonly requested, company registration, KRA PIN and tax compliance, and a supply declaration. Where a specification is written around a brand we will state the equivalent we are offering and what it contains rather than quietly substituting.
Holding a price
For a term contract or a school year we can fix rates for an agreed period on the lines you actually use, provided the volume is roughly known. Imported material moves with the exchange rate, so a fixed price for twelve months on everything is not something an honest supplier can promise, but on a defined basket, for a defined period, it is.
Scheduled and call-off delivery
Rather than one large delivery that fills your store and degrades in the heat, most institutions do better with a call-off arrangement: agree the annual quantity, take it monthly or termly, pay against each delivery. Peroxide, hypochlorite and enzyme products in particular lose strength sitting in a warm store, so this is a genuine saving rather than a sales convenience.
Contract cleaning and facilities companies
If you run cleaning crews, concentrate is what you want, the water is already at the site. We supply the concentrate, the dilution rates, and dosing bottles marked so a new cleaner cannot get it badly wrong. Site-by-site delivery within Nairobi can be arranged on one order.
What we need from you to quote well
The product or material, the pack size, the quantity, the delivery point and the frequency. If you are replacing an existing supply, the brand name you are currently buying is enough for us to work out the equivalent.

Do you deliver to the store or to the gate?
To the store. Our drivers are used to signing in at a gate and finding the storekeeper, and drums are not left at a reception desk.

We will state the equivalent we are offering and what it contains, rather than quietly substituting. If we cannot match a specification we say so.
